Does the Math Work? Here’s a Quick Check.

A manual takeoff on a mid-size commercial set takes an estimator 4 to 8 hours. At a fully-loaded rate of $65/hour, that’s $260 to $520 in estimator time for one bid.

PILRS does the same takeoff for $75, in under an hour, with your estimator reviewing instead of clicking. You save the direct cost and free them up to review two or three more bids the same day.

Translation: one bid won that you would have otherwise skipped pays for roughly a year of takeoffs. That’s the math.

No Hidden Costs. Ever.

Takeoffs are $50 to $100. That’s it. No setup fees, no storage fees, no per-user fees, no export fees, no integration fees. What you see on this page is the whole price list.

Services Layer · Optional

Want Us to Run It For You?

Takeoffs are the foundation. On top, we offer a services layer where a Forward Deployed Engineer (FDE) spends time in your business, studies how you actually operate, and then builds custom AI automations — pricing logic, vendor coordination, catalog uploads, bid portal submissions, and more. Most shops don’t need this. The ones that do save 15–30 hours a week.

Stage 1 · Process Creation

Forward Deployed Engineer On-Site

$50/ hour

Typical engagement: 20–80 hours over 2–6 weeks

One of our engineers embeds with your team — remote or in-office — maps your estimating, procurement, and submission workflows end-to-end, then builds the automations that replace the manual steps.

  • Workflow discovery & documentation
  • Automation design tailored to your trade & portals
  • AI agent + integration build
  • Test runs on your real bid pipeline
  • Handoff with training & playbooks
Stage 2 · Ongoing Operation

Monthly Maintenance

$500–2,500/ month

Scales with the number & complexity of active automations

Once the FDE has built your automations, we keep them running. Portals change, pricing tables update, new vendors join — we adapt the system so you don’t have to rebuild anything yourself.

  • Monitoring & uptime SLAs
  • Portal & API change management
  • Pricing / catalog update pipelines
  • Monthly optimization reviews
  • Priority support for your team

What the FDE Actually Automates

Dynamic pricing rules

Labor rates, waste factors, and markup logic that respond to project type, location, and current material prices — so every bid uses current numbers, not a stale spreadsheet.

Vendor coordination

RFQs to suppliers, quote follow-ups, best-price selection, and PO generation — run by an agent that never forgets to chase a vendor.

Catalog uploads & SKU mapping

Keep your material catalog in sync across takeoff, estimating, ERP, and accounting without re-keying the same SKU five places.

Bid & proposal portal submissions

BuildingConnected, iSqFt, Procore, PlanHub, Bidtracer, GovSpend — automated uploads of the right files in the right format, every time.

Subcontractor scope builders

Generate scope letters and subcontractor bid packages directly from the takeoff output, pre- filtered for each trade partner.

Proposal & cover letter generation

Branded proposals drafted straight from the priced takeoff, ready for your estimator to review and send.

Pricing FAQ

Pricing Questions, Straight Answers

No fine print. No asterisks. Here is exactly how it works.

How much does a PILRS takeoff cost?
Between $50 and $100 per takeoff depending on plan set size. Under 25 pages is $50. 25 to 100 pages is $75. Over 100 pages is $100. That’s the complete price list — no setup, storage, or per-seat fees.
Is there a monthly subscription?
No. Pay-per-takeoff only. You pay when you run a takeoff. If you bid three jobs this month, you pay for three takeoffs. If you bid zero, you pay zero.
Can I try PILRS before paying?
Yes. Your first takeoff is free so you can confirm accuracy on your own plans before any payment. No credit card needed to start.
What if an addendum is issued after I pay?
Re-run the takeoff at no extra charge. Revisions on the same plan set are always included — one payment, unlimited re-runs.
Are there volume discounts?
Yes. Teams running more than 20 takeoffs per month qualify for custom volume pricing. Email sales@pilrs.com for a rate card.
How does the Services Layer work?
Optional. A Forward Deployed Engineer (FDE) builds your custom automations at $50/hour (typically 20–80 hours). Once the system is live, ongoing maintenance runs $500–$2,500/month depending on the number and complexity of automations.
What does the FDE automate?
Anything repeatable in your bid pipeline: dynamic pricing, vendor RFQs, catalog uploads, bid-portal submissions (BuildingConnected, iSqFt, Procore, PlanHub), proposal generation, and subcontractor scope packages.
Do I have to use the Services Layer?
No. 90%+ of customers use takeoffs only. The Services Layer is for shops running high bid volume or complex multi-portal submissions where automation pays for itself fast.
What payment methods do you accept?
All major credit cards and ACH. Customers on annual volume agreements can pay by invoice with Net-30 terms.
Is my data secure?
Yes. Files are encrypted in transit and at rest. Plans stay private to your account, are never shared across customers, and are never used to train public AI models. SSO, audit logs, and dedicated infrastructure available for teams with stricter requirements.
